Think in levels of access
Ask whether the AI can only generate content, read internal files, change records, send communications, approve actions, or trigger other systems. Each additional permission changes the risk.
Match controls to impact
Higher-impact workflows may need stronger access controls, testing, logging, approval steps, documentation, and periodic review.
Limit access by default
Give the AI only the information and permissions required for the approved workflow. Broad access should not be the default simply because it is technically possible.
Review capability changes
A product that begins as a simple assistant may later gain connectors or agent features. Reassess governance when the technology gains new authority.
