Write for the person using it
Explain what the rule is, why it exists, who it applies to, what employees should do, what they should avoid, and who can answer questions.
Use examples
Statements such as 'protect confidential information' are easier to apply when employees also see realistic examples of what confidential information looks like and how it should be handled.
Separate policy from procedure
A policy states the expectation. A procedure explains the steps. Keeping them connected helps employees understand both the rule and the action.
Review after business changes
New technology, AI tools, vendors, remote work, organizational changes, and new risks can make old policies inaccurate.
